Talk about a rent increase

Landlord: announce an increase

Hi [landlord name], thanks for letting me know about the increase. [New rent] is a big jump for us. We've paid on time for [time] and looked after the place. Would you consider [counter offer] instead?

Tenant: ask for a phased increase

Hi [landlord name], we'd like to stay. Could we split the increase, going to [first amount] now and [full amount] from [later date]? It would make a real difference to us.

Landlord: reply to a counter offer

Thanks [tenant name], I appreciate you being upfront. I can meet you at [amount] from [date]. I'll update the paperwork if you're happy with that.

Get the deposit back fairly

Landlord: explain deductions

Hi [tenant name], thanks for leaving the place in good shape overall. I'm returning [amount] of the deposit. I've kept [deduction] for [item] and attached the photos and quote. Happy to talk it through if you have questions.

Give or answer notice

Landlord: confirm their notice

Thanks for letting me know, [tenant name]. I've noted [date] as your last day. I'll be in touch about viewings and the checkout inspection. It's been good having you.

Landlord: tell them you are selling

Hi [tenant name], I wanted to tell you personally before the formal notice arrives. I've decided to sell the property and will be serving notice for [date]. I know this is unsettling and I'll be as flexible as I can on timings.

Questions

Should I message my landlord or email them?

For anything about money, repairs or notice, email or use the letting agent portal so there is a dated record. A quick text is fine for arranging access, as long as the main request is in writing somewhere.

Can I negotiate a rent increase?

Often, yes. Landlords usually prefer a reliable tenant at a slightly lower rent to an empty month. Ask politely, point to your record and offer a specific number rather than asking them to reconsider.

Are these templates legal advice?

No. They are a starting point for clear, polite messages. Notice periods and deposit rules depend on where you live, so check your tenancy agreement and local guidance.
