What is usually going on

Text is a fine place for an apology when the thing was small or when they need space before talking. For bigger things it works best as a first step: sorry now and a proper conversation later. The structure that works is short. Say what you did in plain words. Say sorry with no “but”. Say what you will do differently or how you will put it right. Then stop. The common mistakes are explaining at length (it reads as defending yourself), adding “if you were upset” (it makes it their problem) and asking them to reply straight away (it puts the pressure back on them). Timing matters. Too soon and it can look like you just want the tension gone. Too late and it looks like you hoped it would blow over. Within a day is usually right for a row. Straight away is right for a small slip. Match the size of the apology to the size of the thing. A huge apology for being ten minutes late feels odd. A one-liner for something that really hurt feels worse.

Replies by what you want to happen

Own a small slip quickly

Sorry I was late again tonight. That’s on me and I’ll be on time Thursday.

My bad for not calling back. Sorry. I’ll ring you tomorrow at 6.

Name it, own it, fix it. Small slips need small apologies.

Repair something that really hurt

I’m sorry for what I said last night. It was unfair and you didn’t deserve it. I’d like to talk properly when you’re ready.

I’ve been thinking about yesterday. I was wrong to dismiss you like that and I’m sorry. No need to reply now.

“No need to reply now” takes the pressure off. It shows the apology is not a transaction.

Follow up once if they’re quiet

I know you might not want to talk yet. I meant what I said and I’m here when you’re ready.

Not trying to rush you. Just wanted you to know I’m still sorry.

One follow-up at most. After that, give them the silence they are asking for.

What not to send

  • “Sorry if you were offended.” It apologises for their feelings, not your action.
  • Any apology with a “but” in the middle. Everything before the but gets cancelled.
  • Three paragraphs of context about your week. However true, it reads as an excuse.
  • “Are we ok?” ten minutes after the apology. It asks them to comfort you.
  • A joke to skip past the awkward bit. It tells them the apology was something to get through.

Questions

Is it ok to apologise over text?

For small things, yes. For bigger ones, a text is a good first step if you offer to talk properly. It also gives the other person time to read it without having to react in the moment.

How do I apologise to my partner over text?

The same structure, with less hedging. Name what you did, say sorry and say what changes. Skip the pet names and the joke at the end. Then offer to talk in person.

What if they don’t reply to my apology?

Wait a day or two, then send one short follow-up that does not ask for anything. If that gets no reply, leave it. Pushing for forgiveness undoes the apology.

Should I explain why I did it?

Briefly, if the reason helps them understand and it does not shift blame. One sentence is plenty. If the explanation is longer than the apology, cut it. You can always explain more in person if they ask.
